Cancelling with Grace, and What It Actually Costs

Plans change more often in London than anyone likes to admit, and cancelling a booking well, with enough notice and a warm word, costs very little and keeps every future evening exactly as easy to arrange.

Plans change, and that is entirely normal

A meeting overruns, a flight moves, an evening that felt certain on Tuesday suddenly does not on Thursday. None of this is unusual, and a serious agency plans for it rather than pretending every booking survives untouched from message to arrival. What matters is how a change is handled, and a little notice, however short, makes every part of cancelling considerably smoother for both sides.

Guests booking anywhere from a quiet evening near Soho to a longer stay further out along the map all run on the same set of rules, so the notice tiers below apply exactly the same way whichever part of London the booking was made for.

With three hours' warning or more, a standard hotel or residence booking is released at no cost at all, simply cancelled and forgotten. Something like a straightforward line naming the change and roughly when you would like to rearrange, sent as soon as you know rather than at the last possible minute, is genuinely all that is needed. Nobody on the desk keeps score of guests who have had to cancel once with good notice, and a companion who has been told kindly and early is always glad to be asked again.

There is no need to over explain the reason either. A meeting that ran long or a flight that moved is enough detail on its own, and the desk would always rather receive a brief honest message than nothing at all until the agreed time has already passed. Guests who write in this way, plainly and without excessive apology, tend to find the whole exchange settled within a couple of messages back and forth.

The fifteen minute grace, both ways

A booking is never treated as late the moment the clock ticks past the agreed time. A fifteen minute grace sits either side of every start time, for you as much as for her, since traffic and a delayed meeting affect both directions equally. Only once that window has genuinely passed without word from either side does the cancellation notice actually begin to count.
